Pickup day: the volunteer's card

Print the one-page version (PDF).

Text this with the link. The card fits on one phone screen. More detail follows it, for the unusual cases.

Open the link. When a customer arrives, find their name, then press Check in.

  • Search by name, in any order (Hollis, Brian works), or the end of the order number.
  • Every name has a Check in button. "Picked up:" and their name means done: hand over their plants.
  • "They still owe $X. Did they pay you now?" If yes, press "Yes, I took $X in cash" or "Yes, I took a check for $X" (you only see the ones your district takes) and give the money to the coordinator. Never pay out a refund.
  • Wrong person? Press "Undo check-in".
  • No signal? Keep going. Check-ins are saved on the phone and send when the bars come back.
  • Not on the list, or "Not picked up"? Send them to the coordinator.
  • Stuck? Press "Stuck? Call or text" at the bottom of the list.

More detail

  • "Saved:" and their name means this phone has the check-in but has not sent it yet. It sends by itself.
  • More than one pickup place? Each row says where, for example "Pickup: Barn B". If it is not this place, send them to the coordinator before handing anything over.
  • Finding people. Before the first check-in of the day, the top of the screen says "How it works: Find their name, then press Check in." Tap Details there for the pickup addresses and directions. Tapping a name works the same as its Check in button. Checked-in names stay in place until you search again or press Move picked-up names down under the list. Clear, inside the search box, empties it. Accents and apostrophes do not matter: obrien finds O'Brien, pena finds Peña. Picked-up names fold into Picked up (N): open it, then tap any name to see its card.
  • What to hand over. Each card lists the items one per line with the plants counted, for example Gray Dogwood: 2 bundles of 10 (20 plants).
  • Money owed. The box says "They still owe $X. Did they pay you now?" The row keeps "Unpaid: collect $X now, then hand it to the coordinator to record" until the coordinator records it. Don't record it yourself.
  • Paid you later? Press "I took the $X (cash or check)" inside their card, under the amber line, then choose cash or check. (If your district takes only one, the button says (cash) or (check).) The row then says "$X collected at the table. Coordinator to record.", so nobody asks them to pay twice. That does not mark the order paid. The coordinator does that when you hand the money over. Pressed it by mistake? Tap "Undo: I did not take the money" on their row. You'll see "Undone. The $X is still to collect."
  • Your name. Above the money buttons is a box: "Your name, so the coordinator knows who has the money". Typing it is optional. It empties after every press, so on a shared phone the next volunteer types their own.
  • They did not take everything? Tell the coordinator before they leave. The coordinator removes the missing item on the order page.
  • "…was already marked paid." If the box says this after you took money, the office had already recorded that payment. Keep this money aside and tell the coordinator. The coordinator sees it on Pickup day and settles it with the customer.
  • Didn't take the money? Press "No, they will pay the coordinator" in the same box. The row then says "Picked up, not paid: the customer still owes $X and will pay the coordinator." Send them to the coordinator's table.
  • If a row says "Refund owed: $X. Tell the coordinator.", send the person to the coordinator. Never pay a refund from the table cash.
  • After "Undo check-in" you'll see "Undone:" and their name. A money note on that row is cleared too, and the box says "The note that $X was taken is removed. If the customer did pay, tap Check in again and say so." If you skip that, the coordinator won't know who has the money.
  • Not on the list? The screen says "Not on the list. Try the last name or the order number, and if they still aren't here, send them to the coordinator."
  • Canceled? The line reads "was canceled: nothing to hand over. Send them to the coordinator with any questions." Hand over nothing.
  • A red row that says "Not picked up" can't be checked in from your phone. Send the person to the coordinator's table.
  • "Already checked in on another phone" means another table already handed their plants over. Check with that table before handing out a second set.
  • Offline. The badge turns amber: "Offline. Check-ins are saved on this phone." and counts what is "waiting to send" (check-ins, undos and money notes; with more than one kind it reads, for example, "Offline. 2 waiting to send."). When the bars come back you'll see "Back online." with what was sent. Nothing is lost.
  • End of the day. The screen says "Everyone on the list has picked up. Give any money you took to the coordinator." (If some orders were marked not picked up, it says "No one else on the list is still to come." instead.)
  • Help for volunteers, at the bottom of the list, opens in a new tab, so your list stays where it was.
  • "This link isn't working"? Ask the coordinator for a fresh link. If this phone saved any check-ins, open the new link on this same phone, in the same place you used the old one.
  • A note at the top says "This link has stopped working." It stays at the top while you scroll. Nothing you tap is sent from then on: ask the coordinator for a fresh link and open it on this phone before checking anyone else in.
  • A row that says "Not saved:" means that tap did not reach the list. If it says the phone's date or time looks wrong, correct the phone's clock first. Then do what the row says: check that order in again with a fresh link, or tell the coordinator.
  • The Coordinator: line at the top of the page is their number. Tap it to call or text. If the screen says to ask the coordinator, ask.

For the coordinator, not the volunteer:

  • Before the day, put your cell in Sale settings → Pickup-day contact → Pickup-day phone and press Save sale settings. The Coordinator: line and the Stuck? button dial it. Left blank, they dial the district's office phone (District info).
  • Make the link on Pickup day → Volunteer link → Generate volunteer link → Copy link. Volunteers don't need an account. Choose how long it lasts: until the day after your last pickup time, or 1 to 30 days.
  • A new link does not switch off an old one. If a link went to the wrong people, open "Problems with a link?" on the same card and press "Turn off all volunteer links", then "Yes, turn all links off". That turns off every live link at once.
  • Ask volunteers to open the link once while they still have signal (at home, in the car). The phone keeps a copy of the roster and works in the barn even with no bars.
  • Volunteers can't mark anyone "not picked up", can't record payments, and can't undo a check-in older than 12 hours. Those are yours, on the order screen and on Pickup day.
